What is E-Invoicing?

Making and delivering an electronic invoice that is conformable to VAT regulations, in accordance with US legislations, European Directives (2001_115_EU and 1999_93_EU) and local legislation.


What are the advantages of E-Invoicing for my company?

Log on

Can I use E-Invoicing if I dont have a professional e-mail account?

You must have a reliable e-mail address where we can send your personal password. Thats why we recommend that you enter a professional e-mail address.


Which software do I need?

As your E-Invoices are in pdf format, you need Adobe Acrobat Reader version 7 or higher to view them and a computer with an internet connection. You can download Adobe Acrobat reader at http://get.adobe.com/fr/reader.


Do I have to pay for this service?

No, E-Invoicing is free. If you are interested in an EDI solution, this can be custom-made for you. Please contact your BT Account Manager.


How do I register?
  1. Read and accept the E-Invoicing conditions.
  2. Enter your user details.
  3. Send this information to BT.
  4. We will activate everything for your company.
  5. We will send the passwords by mail.
  6. Every user will then receive a welcome e-mail from us.

After registering for E-Invoicing, how long will it take before I receive my first E-Invoice?

Your latest invoices will already be available on the E-Invoicing portal. You will receive a paper invoice from us in parallel for two months.

Logging on


Can several users use the system at the same time?

Yes. There is no limit to the number of simultaneous users.


How do I receive a new password if I forget this one?

If you forget your password, you can click on the Forgot password button, on the login page. A new password will be sent to your e-mail address automatically, then you will be able to change it in your profile page.


How do I unblock my account if it is blocked?

For security reasons your access to E-Invoicing is blocked automatically if you enter the wrong password three times. To unblock your account you must contact the Customer Service Center.


How do I add a new user? /How do I remove an E-Invoicing user?

You can invite additional users to join the portal. Use the tab "Invite User" on the top menu. You must select the companies to which the invited person will have access, then enter his email address. The invited person will automatically receive an invitation email containing an activation code.

You can remove or edit a user from the portal in the user management section. Only Administrators are allowed to invite, remove or edit users.

Invoices


How long do I have access to my invoice details?

We keep your invoices online for six months.


Is it necessary to download the invoices immediately?

No. You can download your E-Invoices when it suits you, within a period of six months.


If I change something on the pdf invoice with Adobe Acrobat Writer, are these changes saved? Are these changes visible?

The changes will be visible on your local copy but will not be reflected on the invoice on the portal. In such case, your local copy is not considered as the legal invoice anymore and the signature will not be valid anymore.


How is the invoice integrity ensured ?

All your invoices on the portal are digitally signed via a digital certificate provided by a Qualified Certification Authority. The digital signature of the invoice remains valid as long as the invoice and its content are not changed. The digital signature is included, together with the invoice, in an envelope you can download from the portal (select the checkbox next the invoice and press the "Download legal envelope" button at the bottom of the page). At any time, you can verify the validity of the signature using signature service validation available on the Internet or directly within Adobe Acrobat Reader.


Is a printed invoice also a legal invoice?

No, the electronic PDF file from the legal envelope is the only legal version of the invoice.


Why do I have to save an electronic version of the invoice? Isn't printing and saving the paper version enough?

According to fiscal legislation, E-Invoices must be saved in electronic format. Saving a printed version and deleting the PDF invoice is a violation of legislation and is not valid for VAT reimbursements.


Is it possible to receive the E-Invoice in my e-mail inbox?

Yes. You can configure your account(s) to receive your BT E-Invoices via email in the E-Invoice Confiiguration section. Only Administrators are allowed to edit these settings. The E-Invoice is also saved on your password-protected E-Invoicing service for a period of six months.


How do I know that there is a new E-Invoice?

You will receive notification by e-mail as soon as your E-Invoice is available (if you activate this option in your profile).


Does BT also offer an EDI solution?

BT can draw up a custom-made solution for your company so that the invoices are automatically integrated in your own systems via a structured document format. If you are interested, you can contact your BT Account Manager.

Is this service secure?

The service uses the secure protocol https: (secure http). Furthermore, E-Invoicing is only accessible with your personal user-ID and password.


Are cookies placed on my computer?

Is it possible to go back to paper-based invoices if I dont like E-Invoicing?

Yes.You can go back to paper-based invoices. In order to do this, please contact your BT Account Manager.


If I dont want to receive e-mail notifications, can I disable this function?

As soon as you have logged into your E-Invoicing account, you can switch on/off e-mail notifications with the option ("My profile" tab).
